Privacy Policy
KaziDocs Kenya ("we") respects your privacy and processes personal data under the Kenya Data Protection Act, 2019. This policy explains what we collect and why.
Data we collect
- Content you type into forms (CV, letter, invoice details). It is processed in your browser; it is sent to our server only when you start a payment so your paid document can be delivered and re-downloaded.
- Your M-Pesa phone number, amount, M-Pesa receipt code and timestamps.
- Technical data: IP address, browser type and security logs, used to prevent fraud and abuse.
- Short, anonymised questions you ask our assistant RaiaAi, kept only to improve answers (see AI Policy).
- Photo and PDF tools run locally in your browser; those files are not uploaded.
Why we use it
To deliver the service you request (contract), to process payments and prevent fraud (legitimate interest), to comply with tax and legal duties, and for marketing only with your consent.
Sharing
We do not sell personal data. We share only what is needed with Safaricom (M-Pesa), our hosting provider, and an optional advertising network (see Cookies). We use no third-party AI service. We may disclose data where required by law.
Retention
Stored documents are kept up to 12 months then deleted; payment records are kept for 7 years for accounting; security logs for up to 12 months. You may ask for earlier deletion.
Security
HTTPS, access controls, signed verification codes, rate-limiting and integrity checks. No system is perfectly secure; report issues via our Security page.
Your rights
See Data Protection Rights. Contact support@example.co.ke or our Data Protection Officer at dpo@example.co.ke. You may also complain to the Office of the Data Protection Commissioner (ODPC), Kenya.
Shops
When you place an order in a seller’s shop, your name, phone number, address and order details are shared with that seller to fulfil it. Sellers are responsible for protecting that data.
We may update this policy; the date at the bottom of the page shows the last revision.
